When it comes to planning your family's ideal holiday, it takes a village — or at least one really good concierge. Just ask Belinda Brown, an operations manager for Exclusive Resorts, a vacation club with more than 400 luxury residences and experiences in 75 global destinations.
Tasked with overseeing Kadenwood Estates, the four-bedroom residences in Whistler, Canada — each with its own fireplace, dramatic wood beams, private hot tub, and custom boot dryer — Brown helps anticipate members' needs before they even ask. "We get to know the way our members and their families travel so intimately that we can craft their stay with barely a hint of direction," she says. "They never have to worry whether it's going to be a good vacation because we work behind the scenes to craft what they want, even if they don't know exactly what that is."

The Inner Workings
While Exclusive Resorts members — made up of 4,300 of the most affluent families in the world — enjoy a soak in the hot tub or gondola ride, Brown and her team are "ensuring that each home is meticulously maintained — from the furniture and fixtures to the cutlery in each kitchen." And though Brown's job is to make sure everything is running smoothly and perfectly in its place, she needs to remain flexible and on call 24/7. "We never want to disrupt a baby's nap schedule or an afternoon meeting," she says, "so we check with every member to coordinate the best time for us to come and service each residence."
After a morning meeting — including a chat with housekeeping to ensure they have those aforementioned schedules down — Brown heads to the grocery store to shop for incoming members. When families arrive at their ultra-private four-bedroom residence, the fridge is fully stocked with their must-haves. Brown's team is also responsible for making reservations, arranging childcare, and booking activities. "We can plan an excursion that impresses even the most cynical teenager," she says.
When families arrive back at their residence in the afternoon, they'll find something special — a basket of local treats or hot chocolate for après ski, for instance. Next, Brown will arrange one-on-one check-ins with each member. "Do the parents want a night out? We'll find them a babysitter. Mom wants a massage? Yoga instructor? Private chef? We'll book it." After sending out reservation reminders, arranging private transportation that evening, and distributing the daily mountain report for the next day (sunny skies again!), Brown and her team wrap up office duties for the evening.
One Key Difference
Relationships define the Exclusive Resorts' experience. "I have watched members' kids grow up and head to college, and even have families of their own," Brown says. "Others pull up in the driveway, jump out of their vehicle, and give me a huge hug. It’s the greatest feeling."
