JOB DESCRIPTION:

The Operations Associate provides support to the Member Services leadership and regional teams through reporting, system updates, and subject matter insight on operational processes.

ESSENTIAL ROLES AND RESPONSIBILITIES:

  • Generate, monitor, and research reports to ensure memberships are in compliance with contract agreements.  
  • Develop an understanding of the Member Services policies, processes, and procedures to perform necessary system adjustments in our internal proprietary booking system, SalesForce, and SharePoint.
  • Act as a liaison, and the first point of contact, with our VIP Benefit Partners to manage all day-to-day responsibilities.
  • Provide analysis and research, to both internal and external stakeholders, on databases and spreadsheets to maintain the integrity of data.
  • Create and manage the manager on-call schedule and the membership account manager weekend/holiday schedule.
  • Manage the office calendar to ensure proper weekend coverage for the department’s needs.
  • Support the leadership team with the following:
    - Organize agendas for weekly meetings
    - Facilitate legal documents with Club Members through DocuSign
    - Initiate payment for invoices related to departmental needs
    - Prepare Monthly Expense Reports
  • Assist with operational projects.
  • Performs additional duties as determined by the Sr. Director and Sr. Manager of Member Operations, and is a shared resource for operational needs across the Member Services Department.

EXPERIENCE AND QUALIFICATIONS: 

  • Associate Degree (A. A.) or equivalent from two-year College or technical school; or 2+ years working in customer support or operational role; or equivalent combination of education and experience.
  • Must have strong communication skills (verbally and written); must be organized and be able to prioritize workload to meet deadlines; must be proactive and work independently with little supervision.
  • Must have strong computer skills, be proficient in technology, and strong working knowledge in Microsoft Office applications, particularly Excel).
  • Preferred knowledge of Salesforce and SharePoint
  • Excellent interpersonal skills to build strong relationships with colleagues
